Privacy Policy

This policy explains how Downeast Intelligence (“we”, “us”), based in Maine, USA, handles information through our website, our free AI Business Assessment, and our Client Portal. Questions: ethan@ethangs.com or 207-776-4943.

Information we collect

• Contact and assessment details you send us (name, email, phone, company, and your assessment answers).
• Client Portal accounts: your name, email, company, and what you do in the portal (e.g. support requests, document views, sign-ins) for security and service.
• Business information you or we add while working together (projects, automations, reports, documents, meetings).
• Connected apps: when you connect a service such as Gmail, Google Calendar, Outlook, Microsoft 365, QuickBooks or HubSpot, we receive access tokens from that provider (never your password).
• Basic technical data such as IP address, used for security and rate limiting.

How we use it

• To respond to you, provide our consulting and automation services, and run the Client Portal.
• To run the automations you've asked us to build, using only the access you granted, for your company only.
• To keep accounts secure (sign-in protection, audit logs) and to send service emails such as invitations and alerts (which you can adjust in Account settings).

We do not sell personal information, and we do not use it for advertising.

Connected apps and Google user data

When you connect an app, the access tokens are stored encrypted on our automation platform (n8n) and are used only to perform the automations set up for your company: for example, sending an email you configured or creating a calendar event. We request the minimum access needed (for Gmail, permission to send email, not to read your inbox).

Downeast Intelligence's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to develop, improve or train generalized AI or machine-learning models, we do not allow humans to read it except with your permission, for security, or as required by law, and we do not transfer it to others except as needed to provide the automations you requested.

You can disconnect any app at any time in the portal's Connected apps page, or from your account settings with the provider.

Who we share information with

Only service providers that help us run our services, under their own security commitments: website hosting (Netlify), database (Neon), file storage (Netlify Blobs), email delivery (Resend), workflow automation (n8n), and the apps you choose to connect. We may disclose information if required by law.

Security and retention

We use encryption in transit, per-company access controls enforced by the database, two-step sign-in for staff, and activity logs. We keep information while we work together and as needed for legal or accounting purposes; individual automation run records are kept for about 90 days. You can ask us to delete your information.

Your choices

You can ask to access, correct, export or delete your information by contacting us. You can change email notification preferences in the portal at any time.
